Travel

We are continuing to partner with a travel agent this year who will book your air travel for you! This avoids any hardships caused by paying out of pocket and delays in reimbursement.

If you would like to spend more time in San Diego, and the flight isn’t any additional expense than an economy flight on the conference dates, you may stay additional days and the flight will still be reimbursed. Please note, any extra hotel nights will be at your own expense.

Reimbursement Forms

Please note reimbursements are processed through the university and will likely take 6-12 weeks to complete. Please see below for what is required for reimbursement. Once you have all documents prepared, you can fill out the travel reimbursement form

FLYING? You will need to provide the receipt you received from the airline issued at purchase, and then your itinerary. The receipt must show the total paid and the last four digits of the card used, or other evidence of payment.

DRIVING? You will need to provide a map (Google, Apple, etc.) that shows the starting address to the hotel, meaning the route should be highlighted. It must also show the total miles driven between those addresses. You will need to complete that process for each direction of travel. Mileage will only be reimbursed if you are driving 50+ miles to attend the conference, or if your home airport is 50+ miles from your home. 

TRAIN? You will need to provide a copy of the receipt for the train tickets that shows the total cost plus the method of payment, and the itinerary.

What is and is not covered?

Hotel: We will reserve your hotel room and pay for Friday and Saturday nights. Any additional days beyond the conference dates will be at your own expense. If you are extending your days, let us know and we'll reserve the room for those days.  The conference rate is the day before and after the conference.  We make the reservation and then you self-pay when you get here.  The rate is $199 + taxes and fees.  

Transportation to the Hotel and Airport: We will provide you with a rideshare code that covers the cost of transportation between the San Diego Airport and the Town and Country Resort. You are responsible for any other ground transportation including transportation around San Diego and transportation from your home to your “home” airport. For exceptions to this, review our Travel page.

Meals: WRNC will provide a reception (light appetizers) on Friday, breakfast and lunch on Saturday, and breakfast on Sunday.  All other meals are your own responsibility. See the "San Diego" tab of this website for restaurant ideas.
